Connecting athenahealth brings your Athena appointments into your Freed schedule, so you can pick a patient from your day and start a visit without retyping their details. Setup happens once per practice, then each clinician links their own Athena provider.
Setup has two parts: a practice connection (three steps, involving Athena's approval) and provider links (one per clinician). Progress is saved and shared with everyone at your practice, so you won't redo a step a colleague finished.
Before you start
You'll need your Athena Practice ID.
An authorized signer for your practice has to submit Athena's consent form. This is often not the same person who starts setup in Freed.
Plan for about 3–5 days of Athena review after the consent form is signed.
Where to find setup
In the Freed web app, go to Settings → Connections and select the Athena card. You'll see a status chip there — Not connected, Setup in progress, or Practice connected. If you see "Athena is not enabled for your account," this connection isn't available for your practice yet; contact support.
Step 1 — Request the practice connection
Enter your practice name (if Freed doesn't already have it) and your Athena Practice ID, then choose Submit request.
Where do I find my Practice ID? In athenaOne, open your username menu at the top right. Find the number in parentheses beside your practice name. If you work in more than one practice, confirm the name before copying its ID. Your Athena administrator can help if it's missing.
This sends a connection request to Freed. It does not submit Athena's authorization form — that's step 2.
Need to fix a typo? Use Edit Practice ID any time before authorization is confirmed. After that, Practice ID corrections have to go through support. You can also Withdraw request to stop the setup; your configured EHR is left unchanged and you can request access again later.
Step 2 — Authorize Freed in Athena
An authorized signer for your practice submits Athena's consent form for your Practice ID. In Freed, choose Open Athena consent form to open it in a new tab, or Copy link for a signer to send it to the person who signs.
Opening or copying the form does not complete this step — the form has to actually be submitted. After it's signed, Athena emails Freed. Freed confirms receipt on this page and moves your request forward. If you've already signed, there's nothing else to do while you wait for that email.
Step 3 — Athena approval and Freed activation
This step is mostly waiting, and it happens in two phases:
Phase 1 · Athena reviews and approves. Athena approval typically takes about 3–5 days after authorization. Freed confirms approval from Athena's correspondence.
Phase 2 · Freed activates the connection. Freed reviews your practice details and enables the connection after Athena's approval.
There's no need to resubmit anything. Use Check status on the Athena page to see updates, or contact support if you need help. Once activation is done, the page shows Practice connected along with your Practice ID.
Step 4 — Link providers
The practice connection alone doesn't bring in appointments. Each clinician who wants their Athena appointments in Freed needs a provider link.
If you're a practice admin
Go to Settings → Connections → Athena and use Manage provider links to link your clinicians. Admins who aren't clinicians don't need a provider link of their own — link the clinicians who want their Athena appointments in Freed.
If you're a clinician linking yourself
Go to Settings → Connections → Athena.
Under Link your Athena provider, pick yourself from the Your Athena provider list. This list comes from Athena, so it shows the providers configured in your practice.
Choose a Location — a specific department, or All locations.
Choose Link provider, then Go to schedule.
If no providers are listed for your practice, check with your admin or contact support. Your practice admin can help confirm which provider and location are yours.
Using your schedule
Once your provider is linked, open Schedule in Freed to see your Athena appointments for the day. Select an appointment and start the visit — the patient's details come across, so there's nothing to retype. An appointment you've already started is labeled Visit started.
A few things to expect:
Canceled appointments can't be started. Freed will tell you if you select one.
You can still record without an appointment. Starting a visit outside your Athena schedule works as it always has.
"Your schedule requires a configured Athena connection" means the practice connection or your provider link isn't in place yet — go back to Settings → Connections → Athena.
Sending notes back to Athena
EHR Push works the same way it does elsewhere: review your note, then push it into Athena. To change where content lands, use the Edit EHR push preferences link on the Athena connection page, or go to Settings → Preferences → EHR push preferences.

Troubleshooting
Some states need Freed support to resolve rather than another attempt from you. Contact support if you see any of these:
"Your practice connection is disabled."
"The practice connection needs support review before providers can be linked."
"The configured EHR is not Athena."
"The practice configuration is incomplete or invalid."
"The configured Practice ID does not match your request."
"Athena setup needs attention" — your practice already has an EHR configuration that support needs to review before setup can continue.
Provider linking is available for athenahealth only today.
