Champions: EHR Integration Onboarding

This guide will help you integrate Freed into your EHR system, enabling you to push your notes from Freed into your EHR with one click.

Please note that EHR integration is currently available only for Athena, Practice Fusion, and eClinicalWorks systems.

Freed manages Vim integration onboarding in groups. This guide is tailored for the very first user in your clinic. If you have been added to a preexisting Group, please refer to Non-Champion: EHR Integration Onboarding. If you are a Champion but would like to add more existing users to integration, refer to this guide.

  • "Champion": The very first user in your clinic

  • "Non-Champion": Any additional users wishing to integrate with EHR

For Champions, here's how to get started:

Step 1) Activation

The Freed EHR integration beta is invite-only. If you don’t see the self-onboarding flow, please contact our support team or your account manager to check eligibility.

  1. Log in to your Freed account.

  2. Navigate to EHR Settings under Account Settings (top right) on the Web Desktop App or access it directly here.

Step 2) Select your EHR

Choose the EHR integration you’d like to use. Freed currently supports AthenaHealth, eCW, and Practice Fusion integrations, with more on the way.

Step 3) Complete the form

Fill in your name and clinic information on the form to proceed.

If you encounter an error while submitting the form or experience any issues during setup, please contact us at [email protected] or select the "Contact Support" option within the form.

Step 4) Create a Vim Console account

After you submit the form, you will be asked to activate a Vim Console account.

Vim is Freed’s integration partner. To proceed, click the activation link in your EHR Integration Settings, which will open a new browser tab where you can create a Vim Console account. Please complete this step before moving on to Step 5.

Create a secure password for your Vim Console account. Your Vim Console login email will be the same as your Freed account email.

Step 5) Active your Vim Console account

Once you've created your Vim Console account, follow these steps to complete the activation process.

Log in to your newly created Vim console. You may be asked to verify your email with a security code sent to your inbox.

Confirm activation within the Vim console, which is your tool for managing the integration and users.

Review and confirm the integration settings. We recommend keeping the default settings.

Your activation is now complete, and you’re ready to start transferring notes more efficiently.

Step 6) Install Vim Extension

Follow the on-screen instructions to download Vim Connect (see step 2 on the screen and use the provided link).

Tip: After installation, pin the extension in your browser for quick and easy access.

Step 7) Log In to Your EHR and Locate the Vim Icon

Log in to your EHR, then look for the small "Vim" logo on the side. Please allow up to 30 seconds for the logo to appear.

Step 8) Click the Freed Icon

Click the Freed icon to complete your integration with your EHR.

Freed is now integrated with your EHR!

Step 9) Add Users to the Integration

As the Group Champion, you can add additional users to the integration. To do so, follow the Champions: Adding Additional EHR Integration Users guide.


How to use your new EHR integration with Freed:

You can fully collapse the Freed app using either of the following methods:

  1. Click on the blue V icon.

  2. Click on the small X in the top right corner.

Tips for managing the app's position and size:

  • Move the App to the Left Side: Use the small arrows next to the blue V icon when the app is fully collapsed to move the whole bar to the left side of the screen.

  • Adjust Vertical Position: Move the app up and down using the small arrows that appear when the app is fully collapsed.

  • Expand the App: Click on the icon in the blue bar to expand the app to a more full size if needed.


Cancellation Process

If your group decides to cancel the EHR integration, please contact your Freed representative directly. They will manually process the cancellation within Freed and notify Vim to complete the deactivation.
