How to Customize Your Notes: Learned Templates vs Structured Templates

Freed offers two types of note templates to help you create documentation that fits your workflow: Learned Templates and Structured Templates. Understanding the differences between these two options will help you choose the best approach for your clinical documentation needs.

How to Use Learned Templates or Structured Templates

You can select a Template at the beginning of a visit, before clicking Capture Conversation. The initial note will be processed using that Template. Additionally, you can switch an already processed note into a different Template, and Freed will regenerate the entire SOAP note using the new Template.

Once you've selected your desired Template for that visit, you can select Capture Conversation as usual.


Learned Templates

Learned Templates are created using the Learn Format feature, allowing Freed to replicate the formatting of a saved example note with just one click.

Key Features of Learned Templates:

  • Quick setup with consistent results: Just edit and click Learn Format, and Freed will learn to apply specific changes to future notes.

  • Flexible formatting: Captures formatting, styling, and content preferences beyond a rigid template.

  • Truly customizable personalization: Learns writing style and unique formatting, such as complex lists, or a mix of paragraph and listed notes.

How to Customize Learned Templates

All users start with two Learned Templates, indicated by purple icons:

  • New Patient

  • Returning Patient

All Learned Templates are independent from each other, allowing you to define different examples and formatting for each one.

With the improved Learned Templates, clinicians are now able to create new Learned Templates for any visit type.

How to Review and Edit an Example Note (Blueprint)

  1. Click the Template Library button in the bottom left corner, and locate the Learned Template you want to view.

  2. Click the Learned Template card.

  3. You can make changes to the Blueprint that Freed is using as an example, and click Save Changes in the bottom right to update this format. The Blueprint shows how your ideal note should look and is updated automatically when you ask Freed to learn.

Please note that once changes are saved, they cannot be undone.

Optional: To add special instructions to any section of the note, use square brackets [ ] and follow the instructions to the left

How to Create New Learned Templates

  1. Click the Template Library button in the bottom left corner, and locate any of your Learned Templates.

  2. Hover over the template and click the button with three dots.

  3. Click Duplicate.

You have now created a new Learned Template, which you can rename, and already start customizing by editing the Blueprint.

Structured Templates

Structured Templates are built using the Template Builder, allowing you to manually configure subsections and customize their style and format.

Customizing an Existing Structured Template

  1. Open a processed note.

  2. In the top menu bar, select the Template dropdown.

    1. If you've already selected the Template you wish to alter, just select Customize.

  3. Find the Template you want to edit and click "Customize" next to it.

    • Note: To customize Structured Templates, you must use the Customize option to access the Template Builder. This is why the Learn Format button does not appear on notes generated with Structured Templates.

Using the Template Builder

Within the Template Builder, you have several customization options:

  • Configure Style & Length:

    • Expand each subsection by clicking the caret on the right to adjust the styling and length.

  • Edit or Hide Subsection Headings:

    • Show or hide its heading entirely by clicking the “eye” icon.

  • Rearrange Subsections:

    • Drag and drop subsections to reorder them.

  • Add New Subsections:

    • Click “New Subsection” located at the bottom of each section to add a new pre-defined subsection.

    • Add a Free Text subsection to have custom verbatim text show up in your notes.

    • Add a Custom Subsection to write your own prompts.


Creating a New Structured Template from Scratch

  1. Open the Template Selector (before starting a new note or when viewing a processed note).

  2. Click "Create New Template" at the bottom of the Template Selector.

  3. Define your desired subsections, formatting, and structure.

  4. Label and save your new Structured Template for future use.
