Overview

Admins can invite clinicians to their Group Plan in Freed by managing users through the Subscription or Invite Team section. This guide outlines the steps to add new members and ensures they successfully accept their invitations to join the Group Plan.

Accessing Subscription Management

  1. Go to your menu in the upper-right corner.

  2. Select Subscription or Invite Team to see a list of users currently in the Group.

Adding a New User to an Open Seat

  1. In Subscription, click "Invite Users."

  2. Enter the clinician’s email address to send an invitation.

  3. The user will receive an invite via email to join the Group Plan.

Scenario 1: User Already Has a Freed Account

If the invited clinician already has a Freed account (whether a trial or paid individual subscription), they will follow one of these paths:

A. User is Already Logged In

  • The user can either click the invitation link in the email or simply log into their Freed account.

  • Once logged in with the same email address the invite was sent to, they will see a banner stating: "You have a pending group invitation". They need to click "View Invite".

  • Then, select "Confirm and Join" to complete the process.

B. User is Not Logged In

  • Clicking the link in the email invitation will direct them to the Sign Up page.

  • They should select "Already have an account? Sign In" and log in.

  • Once logged in with the same email address the invite was sent to, they will see a banner stating: "You have a pending group invitation". They need to click "View Invite".

  • Then, select "Confirm and Join" to complete the process.

For Existing Paid Individual Subscribers

  • If they subscribed directly through Freed, their Individual Plan will be canceled, and they will receive a prorated refund automatically.

  • All notes, settings, and formats remain intact—only the billing transitions.

  • If they subscribed via the Apple App Store or Google Play Store, they must manually cancel their subscription, as Freed does not manage third-party billing.

Scenario 2: User Does Not Have a Freed Account

If the invited clinician does not have a Freed account:

  • Clicking the link in the email invitation will take them to the Freed Sign Up page.

  • They should create a new account and complete the onboarding questions.

  • Once logged in with the same email address the invite was sent to, they will see a banner stating: "You have a pending group invitation". They need to click "View Invite".

  • Then, select "Confirm and Join" to complete the process.
