Inviting Users to a Freed Group Plan (Invite Link)

Overview

For large organizations where manually entering email addresses for user invites isn’t practical, Freed provides Group Invite Links that allow admins to send bulk invitations efficiently. This method is used when the self-serve option isn’t applicable due to the size of the group.

How the Group Invite Link Works

1. Admin Obtains the Group Invite Link

  • The Group Invite Link is not available within the Freed app.

  • Freed provides the link directly to the Admin upon request.

  • Once the Admin has the link, they can distribute it to the clinicians they wish to invite to the Group Plan.

2. Admin Sends the Link to Clinicians

  • The Admin must share the link with members via email, internal messaging, or any other preferred communication method.

  • Clinicians receiving the link will use it to join the Group Plan.

3. Clinician Clicks the Link & Signs Up

When a clinician clicks the link, they are directed to Freed's Sign Up page. There are two possible scenarios:


Scenario 1: User Already Has a Freed Account

If the clinician already has a Freed account (either as a trial user or a paid individual subscriber), they will follow one of these paths:

A. User is Already Logged In

  • When they click the Group Invite Link, the "Joining Group Subscription" modal will appear.

  • They simply click "Confirm and Join", and they are now part of the Group Plan.

B. User is Not Logged In

  • Clicking the Group Invite Link will take them to the Sign Up page.

  • They should select "Already have an account? Sign In" and log in.

  • After logging in, the "Joining Group Subscription" modal will appear.

  • They click "Confirm and Join", and they are successfully added to the Group Plan.

For Existing Paid Individual Subscribers

  • If they subscribed directly through Freed, their Individual Plan will be canceled, and they will receive a prorated refund automatically.

  • All notes, settings, and formats remain intact—only the billing transitions.

  • If they subscribed via the Apple App Store or Google Play Store, they must manually cancel their subscription, as Freed does not manage third-party billing.


Scenario 2: User Does Not Have a Freed Account

If the clinician does not have an existing Freed account:

  • Clicking the Group Invite Link will take them to the Sign Up page.

  • They should create a new account and complete the onboarding questions.

  • Once their account is created, they will immediately see the "Joining Group Subscription" pop-up.

  • They click "Confirm and Join", and they are successfully added to the Group Plan.


Final Notes

  • This process ensures that users can easily and efficiently join the Group Plan without requiring admins to manually enter multiple email addresses.

  • For individual subscribers transitioning to a Group Plan, all data (notes, settings, formats) remains intact, with only the billing method changing.

  • Admins should communicate the importance of manually canceling App Store/Google Play subscriptions if applicable.

Troubleshooting Common Issues

  • Ensure You Receive the Email Invitation: Verify that the group admin has sent the email invitation to the appropriate address. Contact the admin if necessary.

  • Verify Email Account Matches the Invitation: Ensure you are logged into the Freed account associated with the invitation email. If using multiple Freed accounts, switch to or create the correct one.

  • Check Group Capacity: Confirm with the admin that the group plan has available seats. Request the addition of more seats if necessary.
